How a BTR VSI service visit works, from enquiry to record

From first message to final record, a BTR VSI service visit follows six defined steps.

The short answer

A BTR VSI service visit runs through six steps: enquiry, survey, recommendation, execution, verification and record. You send the valve details by WhatsApp or the contact form, and an engineer replies within 24 hours. We survey the valves in service, recommend treatment only where injection suits the valve, execute it under your permit, verify seat tightness under agreed conditions, and leave a written record.

1. What the enquiry stage looks like

The visit starts before anyone travels. You send the valve details through the contact form or by WhatsApp. An engineer, not a sales desk, replies within 24 hours. The reply asks about anything unclear, such as fitting types or the last treatment date.

A first message helps most when it includes:

  1. The valve maker, type, size and pressure class from the nameplate.
  2. The service: fluid, pressure range and any temperature limits.
  3. The symptom, such as passing, stiff operation or a stem leak.
  4. Photos of the valve and its injection fittings, if available.

2. The survey comes before any recommendation

We survey first because a symptom rarely identifies the failure mode. A risk-based valve integrity study, published by Valve World, covered upstream and midstream sites. It found 61 per cent passing, 28 per cent seized and 6 per cent leaking externally. Distributions vary by population, so each valve is assessed on its own condition.

The survey also checks the gates before any treatment. The valve must have injection fittings in good condition. The valve design and the service must suit injection. Site rules and the permit to work must allow the job. Where OEM documents exist, we consult them for limits and warranty terms. In-service treatment is not always possible, and a survey says so early.

3. A written recommendation with honest endpoints

The recommendation is written before any product goes in. It names the treatment, cleaner, lubricant or sealant, the fittings used and the sequence. It states the result we intend to verify at the end. It also lists stop-work conditions, so both teams share one limit. Nothing is injected on verbal agreement alone.

Honest endpoints are part of the document. A valve with a damaged seat or body may need workshop repair or replacement. In-service injection cannot restore lost metal, and we say so plainly. Emergency call-outs follow the same sequence, only compressed in time.

This openness is one test when you choose an online valve maintenance provider. For repeat work, an annual maintenance contract can fix the cadence, products and reporting. You keep the plan, and it becomes part of the valve history.

4. Execution under your permit

Execution follows the written plan under your permit to work. The crew injects controlled amounts within equipment and fitting ratings. They watch the pressure response at every step. Any stop-work condition ends the injection, and the finding goes in the record.

  1. Inspect and clean the buttonhead fittings, then connect the gun.
  2. Inject cleaner where old lubricant or sealant blocks the flow paths.
  3. Allow a dwell period, then cycle the valve to spread the treatment.
  4. Follow with lubricant or sealant as the recommendation states.
  5. Stop at the agreed limit and record amounts and pressures.

5. Verification and the record you keep

Verification closes the visit with evidence, not impressions. Sound, pressure behaviour and operator feel are screening signs that suggest improvement. The confirming test is a seat-leak test under agreed conditions. Examples include pressure decay across the closed valve. Double block and bleed monitoring, or a witnessed leak test, also serve.

API 598 and ISO 5208 are factory acceptance references. We never present them as field test results. The visit record lists each valve treated: condition found, treatment, amounts, pressures, test method and result. Photos and fitting details complete the file. If a valve still fails the test, the record says so. The next step is then a proper assessment, repair or replacement. That record feeds the next survey, so planning rests on paper, not memory.
